How Are Codes Completed to Automatically Trigger an Invoice
When a patient receives treatment, the provider will mark the necessary codes as completed in the patient's Clinical Chart. The provider will select the Procedure Codes completed during the treatment session.
Perform the steps below to get started.
- Select the patient using the Global Search Bar.
- Hover over Clinical > click Chart.
- Right-click on the Code(s) and click Complete.
- This automatically adds the completed codes to an invoice.
How to Take Payment of an Invoice
- All completed codes for a treatment will be automatically moved to an invoice.
- To view all invoices, click Billing on the left.
- Click on the Account Transactions section, if you wish to view the same information for an entire account.
- The Invoice Details slider will open up, which outlines all the codes linked to that particular invoice.
- Check if the Code(s) and Date of Service (DOS) are correctly displayed and click on Proceed to Payment.
- If you do not want to check the codes, you can click on +Add Payment on the Patient or Account Transactions tab, which will also direct you to the Payment screen.
How to Move Codes from One Invoice to Another
- Open the Account Summary section and click on the invoice of your interest.
- On the Invoice Details slider, select the code that you wish to move.
- Click on Move Selected Codes on the top right.
You have two options to proceed with,
- You can move to a new Invoice by clicking on the + New Invoice button. OR
- Move the codes to another Invoice where the payment has not been made.
- Select the unpaid invoices.
- Click Move & Open Invoice.
- Make sure to complete the payment following the normal steps.
How to Receive Payment for an Invoice
- Under Patient Transactions, navigate to the Account Summary section.
- Click on the Invoice to be paid.
- In the Invoice Details slider, verify the invoice details.
- Click on Proceed to Payment.
- In the Payment tab, begin with the insurance payment if the patient is eligible to claim through their private health insurance.
- For insurance payments, click on the Insurance Payment option.
- Select and review the important required details in the Step 1 section, such as Location, Payment Type, Date, Insurance Plan, Terminal, etc.
- Navigate down to the Step 2 section and select the invoice.
- By default, all the unpaid invoices will be present.
- Select the required Invoices.
- Click Add Receipt & Apply.
| Tip: For insurance payments via Medicare click on the Medicare button. |
- For Regular payments, click on the Regular payment tab.
- Select the Payment Amount, Payment Date, Payment Type, and Payment Location.
- Navigate down to the Step 2 section and select the invoice.
- By default, all the unpaid invoices will be present.
- You may make your selection and finally add the receipt.
- Click on the Add Receipt & Apply and complete the payment.
How to Print an Invoice
- Under Patient Transactions, navigate to the Account Summary section.
- Click on the invoice that you wish to print.
- Click Print.
On the printout, you can view the Codes, their Date of Service, Invoice Balance, and Net Patient Balance.
The billing and invoicing process ensures a streamlined workflow from completing treatment codes to generating invoices and processing payments. By marking procedure codes as complete, invoices are automatically triggered, simplifying the management of patient billing.
