Let’s explore how to add and manage templates for memos, emails and texts. These templates are saved in the system and can be used in the corresponding areas without creating them from scratch, helping users save time.
To view and manage all templates, perform the steps below.
- Navigate to the System Menu > select Practice Settings > Templates.

Memo Templates
To add memo templates, perform the steps below.
- Select the Memo tab and click + Add.
- Enter the Name.
- Select the Memo Type.
- Enter the Contents for the new memo.
- Click Save.
Email Templates
To add email templates, perform the steps below.
Select the Email tab and click + Add.
- Enter the Template Name.
- Select the Template Type as Direct or Bulk.
- Direct Templates will be available for use across + Message and Correspondence.
- Bulk Templates will be available for use across Opportunity Miner, Recall, Reschedule Queue, and Short Call List.
- Enter the Subject.
- Fill in the Contents you want in your template and use relevant quick links.
- Click Save.

To insert an image,
Click the Insert Image option.
Click Browse.
Select the intended File name and click Open.
Once the file gets uploaded, click Save.
Note: You can preview the template while creating it. Click File and select Preview. |
Click Save.
Text Templates
Text templates can be used to send one-time messages using the + Message button, similar to email templates. Follow the steps below to add new text templates.
- Select the Text tab and click + Add.
- Input the Name of the text template.
- Select the Template Type as Direct or Bulk.
- Direct Templates will be available for use across +Message and Correspondence.
- Bulk Templates will be available for use across Opportunity Miner, Recall, Reschedule Queue, and Short Call List.
- Enter the Message.
- Use relevant quick links.
- You can preview the message on the right.
- Click Save.

To edit a template:
- Select the required Template category tab (Memo, Email or Text).
- Click the required template.
Click Edit.
- Make the required changes.
- Click Save.
To duplicate a template:
Click Duplicate next to the intended template.
- In the Duplicate Template window, make the required changes.
- Click Create Template.
To delete a template:
- Select the required template(s).
- Click Delete.
You can also delete templates by clicking Delete next to the intended template or in the Template modal.
Click Proceed on the warning modal to confirm the action.

To enable permissions for templates,
- Navigate to the System Menu > select Practice Settings > Administration > Profiles.
- Click Manage Permissions for the intended profile.
- Select Practice Settings.
- Under Template Settings, select the permissions as suited to your requirements.
- View Memo Templates or Add/Edit Memo Templates
- View Email Templates or Add/Edit Email Templates
- View Text Templates or Add/Edit Text Templates
- Delete Memo Templates, Delete Email Templates or Delete Text Templates.
- Click Save.
- On the Confirm Action modal that appears, click Yes to proceed.
- A toast notification appears on the top right stating, 'Profile updated successfully'.
