Appointment Analysis Report is used to determine how the practice's working hours have been utilised at a provider-level view within any given date range. 'Working Hours From Production Calendar (In Hrs)' is considered as the practice hours for a provider and is calculated based on the provider template added to the production calendar. This report shows real-time data and can be grouped by either Appointment Location, Primary Appointment Provider, or None.

Let's get started!
Navigate to the System Menu > select Operational Reports under Insights.
Click the + icon on the left or the Generate Report button on the right for the chosen report.

The Appointment Analysis Report gives you an overview of your schedule utilisation on the location or provider level based on your filter selections and helps you identify how efficiently you have been managing your working hours, enabling you to take measures to improve if needed.
Let us explore the filters:

| 1 | Appt. Date* | The report is dated by appointment date. Choose to focus the report on appointments that were scheduled on a day that falls within the selected date range. *By default, MTD is selected. |

| 3 | Appt. Location* | Choose to focus the report on a selected location. * By default, the location will be the user’s default location. |

Once you have selected the desired filters, click on the Generate button to generate your on-screen report or Download Report As button to download your report.
Generation/Download Criteria
- Due to data volume, reports with more than 10 Locations or a date range exceeding 6 Months will not be generated on-screen.
- Reports meeting these criteria will be accessible in the Scheduled Downloads section.

Now, let us take a look at the results of the Appointment Analysis Report.
- Appointment Location: The short name of the appointment location.
- Primary Appointment Provider: The primary provider associated with the appointment.
- Working Hours From Production Calendar (In Hrs): The total number of hours available in the selected period for the provider.
- Blocked Hours (In Hrs): The total number of hours where the provider is not available to render services for an appointment.
- Hours Available (In Hrs): The total number of working hours of a provider where a provider is available to render services for an appointment.
- Total Hours Worked (In Hrs): The total appointment time (hrs) checked out only for the provider.
- Hours Worked Per Operatories: The total Hours Worked divided by the total Hours available across operatories (Hours Worked/Hours Available).
- Number Of Appointments: The total number of checked-out appointments against the location/provider during the selected date range.
- Unique Patients Seen: The number of unique patients seen during the selected date range with an appointment checked out.
- Gross Production: The total gross production for all completed codes linked to a checked-out appointment.
- Gross Production Per Hour Worked: The Gross Production divided by the Total Hours Worked by the provider.
- Gross Production Per Appointment: The Gross Production divided by the Total Appointments tagged against the provider.
Note: The Appointment Analysis Report only considers completed appointments/block-slots within the provider's working hours. In case the Timing of a Checked Out Appointment and Blocked Slot overlap, precedence is given to the checked-out appointment, and the block slot is excluded from the report. In case the appointment is not checked out, then the block slot will take precedence and will be included in the report. The report, therefore accounts for only completed appointments within the provider's working hours. |
If users in your practice cannot use this report, please ensure that the relevant permissions are enabled.
To enable permissions for the Appointment Analysis Report:
- Navigate to the System Menu > select Practice Settings > Administration > Profiles.
- Click Manage Permissions for the intended profile.
- Select Insights.
- Click the toggle for Generate Appointment Analysis Report under Operational Reports to enable the permission.
- Click Save.
