AI Scribe, a transcription tool powered by Heidi, has been designed to simplify the clinical note-taking process in CareStack. AI Scribe operates by smoothly recording the dialogues or audio notes from your clinical sessions. Moreover, it significantly reduces the time healthcare providers spend on creating clinical notes.

Record Clinical Notes via AI Scribe
To start using the AI Scribe tool, perform the steps below.
Select the patient using the Global Search bar > select Clinical.
- You will find the AI Scribe button right next to the +Note button.
- To activate the tool, click +AI Scribe.
Click Start visit to initiate the recording.

Tip: Refer to this sample recording: 'The patient is experiencing severe pain in the upper right seventh tooth, has a plaque on the upper left seventh and eighth teeth, and is bleeding from the lower right second tooth. X-rays have been taken, a root canal is necessary, and the patient's last visit was on 7th October 2024, with the next visit scheduled for 8th December 2024.' |
Once the recording is finished, click on End session.
You can then view the available templates and the desired style you want the note to reflect.
- Choose the desired template to transcribe the recorded audio.
- You can decide how the details of the note should appear:
- Brief
- Detailed
- Goldilocks, Or
- Super Detailed
Click the three-dotted menu for easy access to Context, Transcript, and Note.
- You can add Context, view the Transcript, or add a Note to the recording, as required.
- After reviewing the note, click Push note.
Note: Based on the sample recording, the illustrated transcription includes all discussed issues, such as severe pain, bleeding, plaque, and the dates of the dental visits, including X-rays that have been taken, a root canal that is needed, and the next appointment scheduled for December eighth. |
- Update the AI-transcribed notes as required.
- Once finalised, you can click Save As Draft or Finalize Note as preferred.
- Choose Close to discard the note.
To view the care note summary with AI transcribed care note.
- Click on the finalised care note from the grid.
You can view the Care Note Summary.
Utilise AI Scribe with Care Note Templates
You can also use AI Scribe via the +Note feature.
To choose from the templates set up in Practice Settings, enter the right slash (/).
After selecting the template, minimise the Notes slider.
- Click + AI Scribe.
- Click Start visit to begin a new session.
- Dictate the information you wish to record.
- Click End session.
- The data will be organised based on the recording and the selected templates from the notes.
- Click Push data.
- You will see the Summary of the recording generated for you.
- Once finalised, you can Save As Draft or Finalize Note.
- Choose Close to discard the note.
Fill Responses with AI Scribe
You can also invoke AI Scribe while completing a code.
On the Add Care Note slider, you will be able to find the option Fill with AI Scribe.
Once the AI Scribe pop up appears:
- Click Start visit to begin a new session.
- Dictate the information you wish to record.
- Click End Session.
- The data will be organised based on the recording and the selected templates from the notes.
- Click the three-dotted menu for easy access to Context, Transcript, Note, and Structured Data.
- Here you can add Context about the patient, view the Transcript, add Note, and use Structured Data.
- Click Push data.
- Once you click Push data, the care note will be populated with the recorded data along with its summary.
