To access the appointment slide-out,
- Navigate to the Scheduler.
- Click and drag to create a new appointment (OR) click on an existing appointment to open the Appointment slide-out.
Add Multiple Providers to the Same Appointment
In a collaborative healthcare environment, it is often necessary for multiple providers to be involved in a single patient appointment. Whether for a multidisciplinary evaluation, a coordinated care session, or a team-based approach to treatment, adding multiple providers can enhance patient care and streamline communication. Let's get started
- In the Appointment modal, under the Appointment Details section, click +Add Provider.
To allocate time for each provider once you have added more than one provider, click on Manage the Appt. (Appointment) Timings.
| Tip: You can add the required number of Providers as needed. |
- After adding the required details, click Save.
Add Status & Notes to an Appointment
It is helpful to know how long a patient has been ready in the waiting room, or how long they have been with the doctor. This can be determined by the 'Appointment Status History'. Let's see how to change the appointment status and add a note to an appointment in a few steps.
On Appointment Status & Notes section on the upper right:
- Enter the required notes and click +Add Note.
- To copy notes to the patient memo, checkmark the Copy to Patient Memo option.
- The added notes will be displayed with the added date, time, and the user details who added the notes.
- To add another note, click +Add Note.
Add Appointment Status
- Select the Appointment Status from the drop-down menu at the top of the Appointment slide-out.
- The status change will be reflected in the 'Appointment Status & Notes' section.
Utilising the Appointment Status & Notes feature, you can ensure accurate tracking of patient wait times and interactions. Regularly updating appointment statuses and adding notes provides a clear record of each patient's journey and helps maintain smooth operations.

Add Appointment to the Short Call Queue
You can also add an appointment to the short call list by following these steps:
- Choose Yes for the Set Short Call option using the radio button.
- Enter the intended timeframe on the Preferred Slot field that opens up.
Link Recalls to an Appointment
- Click Link Recall.
- You can see the count of available recalls for the selected patient.
- You can view Procedure Code Recalls and Production Type Recalls separately.
- Select the required recall.
- Click Link to Appointment.
| Tip: When you create a new appointment and select the Production Type, the system will automatically link the recall with same production type (if a recall exists for the selected patient). You can review the details and go ahead with the appointment booking. |
Add Codes to Appointment
To add codes to the appointment, perform the steps below.
- Click Add Code(s) in the Appointment slide-out.
- If you do not want to view fee estimates, uncheck the Show Fee Estimates checkbox.
Within the Add Treatment page that appears:
- Select the relevant Treatment Code(s):
- You can utilise the Search Bar to quickly locate the intended code.
- Click Add to Treatment.
If you need to change the provider:
- After adding the Treatment Code(s), click on the pencil icon next to the Provider column in the lower right.
- Select the Provider to update accordingly.
Add Treatments from Treatment Plans or Phases

Select the Treatment Plans tab to view the patient's Treatment Plans and Phases.
- To learn more about the creation of treatment plans and phases, click here.
- Select the required treatment plan(s) or specific treatment(s) as needed.
- You can checkmark:
- All Ungrouped treatments, Or,
- A date-wise treatment plan, Or,
- A specific treatment of a treatment plan.
- Once treatments are selected, click Add to Appointment.
Additional Actions on Left Panel
- View and update Conditions, Allergies, and Medications of the selected patient under the Medical Alerts section.
- View Pending Action Items of the selected patient such as Document Pending or Medical History Patient Signature Pending.
- A red indicator shows the count of the number of action items pending.
- Users can Add insurance and view plans in both Active and Draft statuses.
- Use the hyperlink to View and Edit the details of the insurance plan in active status and update the plan in draft status.
| Tip: You can view the count of items present in the system on the relevant section heading. The sections that contains relevant data will be expanded by default. |
For Membership Plans, we have incorporated details such as the name of the Subscribed Plan, its Auto Renewal status, Billing Cycle, and date the plan Expires On.
To view all referral sources of the patient:
- Click Ref. Sources (Referral Sources) button on the top left.
To change the linked member for the selected patient:
- Click the Change Member drop-down to select the desired member.
