When setting up Email Templates, users need to choose the message template that best matches their needs. This article is a walkthrough on how to create an email template to use and set up as needed for your office.

To get started, perform the steps below.
- Navigate to the System Menu > select Patient Engagement.
- Click on the Templates tab on the left side of the page.
- Select the Email Templates tab.
- To add a new Email Template click on the +Add button.
- In the +Add pop-up window, be sure to fill all sections marked with an asterisk including those that are required. Let's explore what each of these fields is intended for.
- Name: Assign a suitable name for your campaign.
- Campaign Type: Choose the campaign type from the options in the dropdown that fit the message intended for this email. Here are the given options and what each campaign type is meant for to help you choose the right one.
- General: If you want to use a template for multiple purposes or are unsure which to select, choose 'General' in such cases.
- Appointment Reminders: Remind patients about upcoming appointments. Can be used weeks, days, or even hours in advance to help decrease no-show rates.
- Appointment Confirmation: Sent to patients who have scheduled their appointment(s) to help confirm their availability. Also can provide appointment details such as location, time, etc.
- Appointment Notifications: Notify patients they have their appointment with the selected provider/hygienist. Typically sent after booking an appointment.
- Birthday Greetings: Send a personalised birthday message to your patients.
- New Patient Greeting: Send a warm welcome to patients who are new to your office.
- Patient Re-Engagement: This can be built based on criteria (set in the campaign) to reach out and help the office reschedule patients who did not previously book appointments.
- Automated Recall: Notify patients accordingly who are listed in the practice's Recall cycle.
- Promotion: Update your patients on any seasonal/holiday/limited promotions run at your office.
- Subject: Specify the subject line that patients should see when the campaign email reaches their inbox.
- Require Patient Response: Select Yes or No to specify whether or not you require a patient response for the email campaign that you are setting up.
- Content: Tailor and format your campaign content using the template settings provided within the content section.
| Note: When selecting Yes for Require Patient Response, after you build the campaign and then click Save you will be instantly prompted to insert a patient response link at the very top. |
If you have set Yes for Require Patient Response:
- Click Insert > Insert response link.
- Enter the Text to display and click Ok.
- You will see a blue hyperlinked text response on the content field.
- Click Save to save your changes and continue.
