1. Track Short Notice Cancellations Efficiently
a. Practices can now track Short Notice Cancellations (SNC) separately from regular cancellations using the new ‘Mark as Short Notice Cancellation’ option available when cancelling appointments.
You can set a Short Notice Threshold timeframe in General Settings > No Show & Cancellations. Any appointment cancelled within this timeframe falls under SNC automatically.
Quickly identify SNCs with a dedicated SNC indicator across the system, including the Missed Appointment modal, Appointment Lists, cancelled appointment tiles, and the Scheduler Legend.
2. Assign Provider-Specific Durations for Production Types
a. You can now set provider-specific appointment durations within a production type, which is ideal when different providers require different durations for the same production type.
- This ensures accurate timings for patients booking through the Online Appointment Portal.
- To add provider-specific durations, go to Practice Settings > Scheduler > Production Type and simply click View Provider Level Durations next to the Default Duration.
3. Block Slots Up to a Year
- Slots can now be blocked for up to a year in the Scheduler, providing more control than the previous three-month limit.
1. Share Treatment Plan Summaries with Patients
a. A detailed treatment plan can sometimes be overwhelming for a patient. You can now use the new Summary View to present treatment costs at the phase level while hiding procedure codes for a cleaner, high-level overview.
When presenting or printing a treatment plan, simply select the ‘Present Summary’ or ‘Print Summary’ options as needed to share it with the patient offline or via the Patient Portal.
2. Perio Charting Now Supports Two-Digit Values for MGJ
a. Perio Charting now supports two-digit values for the mucogingival junction (MGJ) to accommodate additional clinical scenarios.
Hold Alt (Windows) or Option (Mac) to enter double digits.
3. Upload Images Directly to Treatment Plan Agreements
The Treatment Plan Agreement now supports uploading images directly from the system, eliminating the previous URL-only upload limitation.
4. Add Implant Details Directly to Care Notes
a. You can now insert Implant details directly into Care Notes, using the new ‘+ Implant’ option, available directly in the Chart and on the Add Care Note slide-out.
Select the implant site and the details you want to include, and CareStack will automatically add the information to the note, making documentation more efficient.
5. Restrict Deletion of Finalised Clinical Notes
Practices can now restrict users from deleting Clinical Notes with a Finalised status with the new ‘Delete Finalised Clinical Notes’ permission under Treatment and Note.
6. New Dosage Form: Packet
You can now select Packet as a dosage form when adding patient prescriptions, making it easier to document medications sold in packet form.
1. Access 6 Months of Communication Usage & Costs
Users can now view Communication Usage Analytics for the past six months with a dropdown to check specific usage and costs for each billing cycle.
2. View Last Review Request Date
When sending a manual review request via email or text, you can now see the date of the last sent review request, helping practices manage follow-ups effectively and prevent sending review requests frequently to the same patient.
3. Enhanced Email and Text Message Modal
a. We have standardised the Email and Text Message modal for direct messages to provide a consistent messaging experience across CareStack.
- Easily search, sort and access templates directly from the messaging modal for faster access.
- Use the Manage Templates option to add or modify messaging templates.
- Insert appointment and provider-specific information when using templates that include related quick links.
4. Highlighted Responses in Medical History Questionnaires
a. Critical responses in Medical History Form questionnaires are now visually highlighted in red, making it easier for providers to spot important answers at a glance.
You can enable this feature in Practice Settings when adding Single Choice, Multiple Choice and Dropdown questions to questionnaires.
Highlighted responses and related notes can be viewed across the Clinical Summary, Medical History Forms, and Care Notes.
5. Improved Current Medication Entry in Medical History Forms
a. The Current Medication section in Medical History Forms has been enhanced across the Patient Portal, Kiosk, Patient Connect, and the system.
Patients are now prompted to confirm if they are not taking any medications, helping prevent accidental omissions.
- CareStack helps you easily identify when a patient is not taking any medications.
- The Start Date and End Date fields are now marked as optional, ensuring a faster and flexible form completion.
6. Consistent Appointment Confirmation Responses
Patient responses to Appointment Confirmation Text Campaigns now show the exact patient response and confirmation status across IRIS and the Communication Hub, making it easier to review campaign engagement.
1. Display Appointment Reason Descriptions on the Online Appointment Portal
a. You can now choose to display short descriptions for appointment reasons in the Online Appointment Portal, helping patients better understand and select the most appropriate appointment type when scheduling an appointment.
Enable the ‘Show Description for App. Reason in Portal’ option under General Settings.
2. Build Forms in Office Wizard with System Components
a. We have added System Components in the Office Wizard form builder, alongside the existing Basic and Preset Components, to make it easier to create forms with common sections like patient details, contact info, referral info, and emergency contact.
b. You can easily add or remove fields and mark them as mandatory, as needed. The heading of each component (for example, “Date of Birth”) can be renamed to match your preference.
c. Forms can be shared with patients through the Patient Portal. Existing patient data is automatically pre-filled wherever quick links are used, so patients can quickly review and update their information.
d. Any changes are saved directly to the patient’s profile the moment the form is signed, making it easy for them to manage their details during onboarding or routine updates.
3. Streamlined Patient Portal Access for Patients with Duplicate Records
a. Patients with duplicate profiles can now easily access the Patient Portal, ensuring a smooth experience with minimal assistance from the practice.
b. After providing their first name, last name and date of birth, patients have the following options:
- If contact information is identical across profiles: After signing in, choose the correct profile by reviewing details like patient ID, default location, outstanding dues, or appointment history.
- If profiles contain different contact information: Enter their registered contact details to receive a verification code to sign in.
1. Configure GST for Your Practice
a. Earlier, practices had no means of applying GST to certain procedures or consumables offered by them. You can now set up and manage GST directly within CareStack, at both the procedure and location levels.
Enable GST for a procedure code by setting Apply GST to Yes in Procedure Code details.
- Set the GST rate for each Location in Practice Settings. It is set to 10% by default.
b. The exact GST amount associated with each procedure can be viewed on invoices for easier tax tracking and reconciliation.
Items which include GST have an asterisk (*) next to fees (in the Chart) and codes (on printed invoices) for quick identification.
1. Practice Analytics
a. Introducing ‘Practice Analytics’, a powerful addition to the Insights module that lets you visualise and drill into data to better track and optimise practice performance.
- Explore Pre-configured Dashboards for key areas like Collections, Front Office, Provider Performance, Production, and Patient Analysis.
- Drill down into individual metrics from aggregate numbers to detailed data with Location and Date filters.
- View Trends to see how a metric has performed over a selected period.
- Use Multi-metric Cards to spotlight Key Metrics and quickly access Detailed Views.
Each dashboard includes Multi-metric Cards that highlight key metrics, allowing for easy access to detailed data when Individual Metrics are needed.
2. Introducing the GST Report
Utilise the new GST Report to view GST breakdowns on completed production. Group the report by location, provider, or invoice, and apply filters to analyse specific data.
3. Opportunity Miner Is Now Real-Time
The Opportunity Miner now uses real-time data, ensuring your lists always reflect the latest information. Previously, the lists used data from the day before.
4. Enhanced Appointment Analysis Report
a. New metrics have been added to the Appointment Analysis Report to analyse provider utilisation and net production:
- Extra Hours Worked (sum of appointment hours outside the scheduled time),
- Unutilised Hours (clinically available hours minus utilised hours),
- Utilisation Rate (percentage of available hours utilised),
- Net Production,
- Net Production Per Hour Worked, and
- Net Production Per Appointment.
Note: Use the Columns filter to show or hide Gross and Net Production metrics based on your preference. Breaks remain excluded from working hours by default.
Introduced a new Prescriptions section within Patient Details, enabling providers to create, manage, and track prescriptions.
- Providers can create prescriptions, add medication details (dosage, duration, instructions) and perform actions such as duplicate, void, and download as PDF.
- All prescriptions are centrally stored and accessible within the patient’s Prescription details page.
